Practice 03 — Enterprise Content (ECM/EDRMS)

Records that survive
the next reorg.

Microsoft SharePoint, IBM FileNet, and OpenText Content Server (GCdocs) — the platforms your retention obligations live on. We build them, migrate them, and tend them with the information-architecture discipline that keeps records findable five years and three reorgs later.

§ A — Capabilities

What we deliver.

Six capabilities, applied in whatever combination your repository needs. Most engagements start with an information-architecture review — we don't migrate content into a structure that's broken at the source.

01

SharePoint design & migrations

Modern SharePoint information architecture, hub-site topology, retention and DLP, plus the migration pipeline to bring decade-old content with you.

02

IBM FileNet operations

FileNet platform stewardship: P8 upgrades, content-engine tuning, security model audits, and the deep configuration work that keeps an EDRMS reliable.

03

OpenText Content Server / GCdocs

GCdocs deployments, customizations, and migrations. We've delivered for federal departments where the retention schedule is the audit trail.

04

Information architecture

Taxonomy, metadata, and the content models that make search work and retention enforceable. Done before migration, not after.

05

Records retention & decommissioning

Disposition schedules, holds, and the legal-defensible decommissioning of legacy repositories. The records that should leave, leave.

06

Migration tooling

Custom and commercial pipelines — ShareGate, Quest, in-house tooling — sized to the volume and the audit standard your migration must meet.

Scaling CRA's ECM platform from a focused deployment to an agency-wide system.

Taxpayer records on the platform

From 500 users to 24,000, on FileNet.

The Canada Revenue Agency operates one of the largest content platforms in the federal government — taxpayer correspondence, supporting documents, and case records hosted on IBM FileNet. Through 2012 the platform served roughly 500 staff in a focused deployment. Five years later it was the agency-wide backbone every CRA business branch ran on.

Across the May 2012 – April 2017 engagement, 46 ECM and "submit document" portal projects were delivered, growing the production user base from ~500 to ~24,000 users. The platform was upgraded twice with expanded capacity, integrated with Microsoft Dynamics CRM, mainframe systems, and SAP HR, and five locally-developed custom applications were retired and migrated onto the enterprise platform. The work also contributed to the taxpayer-facing My Account / My Business Account portal that lets taxpayers submit documents to CRA online.
